Big Y Consolidated Billing Instructions

• Cards for Big Y

• To obtain your Big Y Cards, fill out the below Big Y Card Template with the following information as noted in the spreadsheet:

Type of Card: Select from the dropdown the type of card you are requesting – New, Cancel, Cancel & Reissue or Reprint

Shopper Name: Fill in the person that will be using the card. You can only enter 16 characters maximum; if you enter more, an error will appear. Select Retry and adjust your name.

Department KFS Account: Enter the Department 7 digit KFS account number. If you enter less or more characters, an error will appear. Select Retry and adjust your number

Sub-Account (optional): Enter the assigned 5-digit Sub-Account number. If you enter less or more characters, an error will appear. Select Retry and adjust your number (see below bullet Sub Account information for instruction to create a Sub Account)

Name of individual who will receive & distribute cards – Enter the First and Last name of the UConn employee that is responsible for receiving and distributing the cards.

Number, Street and if applicable Unit # – Enter an official UConn address as noted

City or Town – Enter as noted

Zip Code – Enter as noted

Note: There is a 30-character limit in the Big Y card name section. Name, KFS account # and if applicable, a Sub-Account can be included. Below is an example of the Big Y card naming convention. The naming convention will be on the issued card, Big Y Summary Cover Letter (Invoice) and the SB.

• This would leave 16 characters for name (N)

• This would leave 7 characters for KFS# (K)

• This would leave 5 characters for Sub-Account (S)

• For FY18 – to help the track spending per individual, you have the option to use a Sub-Account number per student and/or FO. Please see the following link for directions on how to set up a Sub-Account connected to your department KFS number
